Venues will regularly move in and out of Best Western branding however, BW will still require access to reporting to view future and historic bookings made whilst part of the BW brand. This process is only required for UK only venues, for international venues, the normal process for removing a brand or ownership is carried out.


For international venues just add it to the branding and that's it , no need to follow the rest of this document


Adding a Venue to BW Branding

In MEC under 'General Information' update the venue name as requested in the email you received or by the official BW website.

Add to the Best Western Group in the 'Brands' section of the listing. Ensure you add the child brand and not the big brand 'Best Western Hotels and Resorts'. 

Ensure any association with the previous group (if the venue was in one) is removed. This includes from the venue's short and full description and email addresses that relate to the previous group.

Do not make any changes to the ownerships section unless told otherwise

Add in the Best Western 3rd party ID (You should find this in the email you received)

Go to the 'Admin Only' section on the listing, then 'Availability & Collections'.

  • Select Best Western Gratis
  • Select Best Western White Label


Removing a Venue from Best Western Branding - UK Venues Only

General Information - amend the venue name to remove any reference to Best Western (including from the short and full description) - agree on the new name with the venue.

Brands & Affiliations - amend the brand to Independent Venue or if changing over to a new hotel then change the brand to the new branding. 

Users - Most of the Best Western users will be Venue Group Managers and removed from the listing once the brand is removed. However, any Best Western users that are Venue Users, Venue Admins, or Venue Supplier Managers need to be removed from the listing.

Instant Book and Collections - Firstly go to 'Admin Only' then 'availability and collections'. There should be a code in 'Venue Widget' or the 'Widget Enabled' is YES and in Blue.


- If the venue widget shows 'No Widget Found' then and the Widget Enabled is off (not blue) then please speak to Sam.



- If there is a code or the Widget is Enabled then you proceed with the following: 


If there is a code or the Widget is Enabled this means the venue may pay or previously paid for the instant book widget. To check if they currently pay for the widget you will need to go to https://endeavour.venuedirectory.com/ type in the venue 

name in the search box and click on the venue name under ‘Provider’ to see all listing subscriptions.



If the venue has a current subscription for instant book you will need to click on the start date twice to bring up the subscription in date order. You will then be able to check if the instant book subscription is current or expired.  



If the venue has NO current subscription for instant book

If they do not have instant book then you can go ahead and remove the best western collections and untick show instant book as normal. 

From the 'Availability & Collections' tab turn off 'Show on Instant Book'

Remove all the below collections from the listing:

  • Best Western Small Meetings
  • TVD Small Meetings
  • Calder Government Collection
  • Best Western White Label
  •  Best Western Gratis


If the venue HAS a current subscription for instant book 

If they do have instant book then please speak to Graham or Sam.


If venue is fully listed/A Listed

If the venue has a current subscription then please assign the ticket to the account manager to let them know that the venue is now an independent venue.



If they have Instant Book let the onboarding manager know, this is Sam Cowdrill
