TVD venue mapping tool uses name, town, postcode etc. to find potential matches. 

The user performing the mapping is presented with potential matches from which to choose from. These are weighted by probability. 

The more data fields we have then the better from a matching point of view.




Instructions for Using the Mapping Tool

Go to this URL & sign in:

  • Click on the 3 lines at the top left-hand side of the screen - an explanation of the menu items down the left-hand side will appear



  • Click on Venue Mapping - select the data you require


  • Open up another session of Chrome or Firefox and have this set-up on your second screen if you have one.  Otherwise, split the screen so you can view both browsers.  You will need this to find out information about each venue to help you build a full and accurate listing.


STAGE 1

  • The system will firstly take you to a screen showing 3rd party venues it has automatically matched with venues already included in our database.  

  • These need to be checked to make sure we only keep the accurate information.  
  • Firstly we need to untick the checkbox at the top of the page.  This will deselect all venues and we then only select the venues we want to match.  All venues should be ticked unless they fall into the categories below :
  • The 3rd Party Venue Details differ greatly from those that are held for the TVD Venue

  • TVD venue shows as Do Not Use

  • Where we have more than one venue ID for the same venue (duplicate venue).  These will be highlighted pink.  (If you have 2 venues the same but 1 venue is marked do not use, tick the active venue.  This is where a venue has been retired and re-added for some reason and we must match to the active correct venue).

  • Venues where the check box next to it is unticked tells the system not to match the 3rd party venue details with ours. A tick indicates that the information we hold is correct.
  • We need to ensure that we do not match too many venues in one go.  There are validation checks built in and the match will fail if any of these validation checks fails.  
  • We should match the venues for 1 letter at a time - so check and match all venues with the letter A, then SAVE and confirm the matching, then do the venues with the letter B and so on.  (There is a SAVE button at the top and the bottom of the page - both work the same!)
  • The system will then refresh and take you to the next page.  



  • Please note, that the venues you did not match will remain at the top of the section so you will need to scroll down a bit to find the unmatched venues to confirm.
  • Continue until you have worked through all the letters, matched the appropriate venues and checked with IT there are no further batches of data to import.

STAGE 2

  • Once the automatic matches have been completed you will be left with a set of venues that need further investigation.  These should be left to the end of the process.  
  • We now move on to manual mapping.
  • In the venues outstanding section – click on a venue

  • Once you select a venue – the system will display the 3rd party details and suggested matches it has found within our data.  It will search based on postcode, venue name & website URL.
  • When you find the correct venue to map the 3rd party details to, click map next to that venue.

  • After you click Map, the system will take you to a further page where you can compare the details provided by the 3rd Party and also the details we hold on our database.

  • We need to ensure that the details are correct on the TVD Venue/Supplier section.  If the 3rd party information is correct and ours is not, use the arrow button to copy the information across.
  • The system may populate the contact information, or you may see a number next to the current contacts - if this is the case, clicking save will move those users on to the listing.  If it doesn’t, go to Google and try to find the email address, manually input this for the venue and tick to receive enquiries.
  • All the information must be completed.  Once you have completed the screen, then click SAVE
  • You will see the screen change and you will receive this message if the venue has mapped successfully.

  • If you want to go back without saving changes then click on the QUIT button.

  • Click on the next venue to try and match it.  You will then see this screen below:
  • Please ignore the EDIT SOURCE button.  This would not be used here. The priority is to add correct data into the TVD Venue/Supplier fields as this is what will load into our database.
  • If you wish to ignore the venue and not map it at all.  For example, we have the venue listed as a Do Not Use and the venue is indeed closed - click IGNORE
  • You may find you need to add the venue as it doesn’t exist on our database - so you are unable to find a matched venue in the list on the right hand side.

To add a new venue:



  • Open a New Tab and enter this URL 
  • https://www.myeventschannel.com/Account/Login?ReturnUrl=%2f
  • Input your email address and password (this will be the same as the Endeavour details)
  • Click Sign In
  • Go to the Admin button - select New Venue
  • (Click HERE for the help guide in adding a new venue)
  • Work your way through the venue wizard, making sure all fields are completed, especially the User section as you will not be able to map the venue without a user and their email address being added.
  • This is how our agents will send enquiries to venues so the listing will not be successful without the email address of the user being added.


  • You will need to check Google or the venue website to find all the required information.
  • Once you have added the venue successfully, click back into the Mapping Tool.
  • Press CTRL F5 together to refresh the page, the venue you have just added will be displayed in one of the sections - click Map and the venue is matched.
  • If for some reason you are unable to find all the details you need and so are unable to create the new venue in our database, you must click IGNORE and we will need to try and obtain the missing information.  This should be done by searching Google again or contacting the venue.
