If a venue emails in and asks for a video to be added to their venue listing, please follow the process outlined below.

Before you start the process you need to be aware that to be able to upload the video, it must meet the following requirements:

  • The venue must have a full listing.
  • The venue must have meeting/event space or other hireable space

Process:

  • Ask the venue to send the video to us at Client Success, via WeTransfer.

  • On receipt of the video, send to marketing to watch the video to ensure it is suitable. For example, it is decent quality and it is a video and not a virtual 360 tour (these cannot be uploaded to our system). Once marketing have checked the video, they will come back to us to say whether this is suitable and if we can go ahead with the upload process.

  • We will now need to send them the 'Video upload email' canned response. This asks the venue to confirm that they are aware of the GDPR regulations and that they have consent from the staff and any identifiable people in the video that has been supplied to us.
  • Occasionally Sales will provide a video that is ready to load, they can be found here https://cvent.box.com/s/7b40xi7e53jo5jl7rutiy032sk2zufh1

Adding video to the venue listing:

  • Find the venue on MEC and go to the Admin Only page

  • Click on the Video tab

  • Once you are on the video tab you will need to change the slider to Yes to show that the video has a video

  • In the field for Video URL, you will need to add the YouTube URL that Ivan has sent back.  If the URL is correct, a green tick should appear next to the URL field

  • A Video Title will now need to be added for the video. You can use the same title that the video has been given on YouTube

  • Next, a thumbnail will need to be chosen for the video. This will be the thumbnail shown on the venue's listing on venuedirectory.com

  • After this has been done, please press SAVE to save the venue video to the venue listing

  • The video will now appear on the venue listing

  • You can now send a confirmation email to the venue, letting them know that their video is showing on the listing

Removing a video from the venue listing:

  • To remove a video from the venue listing, find the venue on myeventschannel.com, and click on the 'Admin only' section.
  • Go to the 'Video' tab
  • 'Venue has a video?' - switch this to no and press 'Save'

Please note, on YouTube we never permanently delete videos in case a venue decides to publish the video again in the future! If we need to remove a video, we will 'Unpublish' it on YouTube.
