The process for making a 'private to' listing public at the request of an agent (that isn't the agent that the listing is currently
If an agent (that isn't the agent that the listing is currently set private to) asks for that listing to be made public then we make the listing public straight away and then inform the requesting agent that the listing has been made available to them.
There may be a very rare exception to this, for example, if the listing has been made an 'exclusive use' venue for a period of time. So before you make any listing public please check the admin notes to make sure that there isn't a reason not to make them public. If you think there might be a reason not to make it public then please escalate this to a team member so a decision can be made and the agent informed.
When you make a listing public you must ensure that you add sufficient email/notes to Admin Only so it's clearly understandable why you changed the listing.
We no longer contact the venue/supplier to inform them of the change to their listing. If they happen to notice the change, at any point, and contact us about this then we need to explain the reasoning of the amendment to them. If they don't accept the explanation then please escalate to a team member such as a supervisor or manager.
Straight after making the listing public please request that the listing be put into the 'abyss' This will make them far less visible in GRATIS than they would be if they were to stay out of the 'abyss'. It should mean that the venue will only receive bookings/correspondence from the agent that it was private to and the agent that requested the listing to be made public.
To request the listing to be put into the abyss you will need to ask Sam, Sammi or Austin to add the listing to the 'Declined Venues Masters List' spreadsheet and then David will reference that sheet and send the listing tumbling into the Abyss!
The information you need to provide us to add to the spreadsheet is the venue/supper listing name, as it appears in MEC, and the listings ID.
Two final things to note are that this process only applies to 'B' listings and not 'A' listings. It's unlikely that this circumstance will occur with an 'A' listing but if it does then escalate to a team member straight away before doing anything. The second note is obvious and I know that you already know but it's to remember not to use the word 'Abyss' when conversing with the venue.
