Confirm an option and send confirmation documents
- Once your client has advised which venue they would like to use you can confirm the venue they have chosen and this will release the other venues
- This action will also generate release report documents that you will need to send to the venues to advise that they can release the space they are holding.
- To confirm the venue you will select the venue from the drop-down list and click on the “Confirm” button.
- When you confirm a venue a confirmation document for the client and the venue will be created, you will need to send these to the venue and the client.
- Once again the documents can be found in the Outbox section on the top or the documents tab of the booking.
Releasing venues
- You can always release the venues one at a time if needed by selecting the venue you want to decline and clicking on the Release button right next to the Confirm button.
- When you click the Release button you will get a pop-up asking the reason for releasing the venue.
- Select the venue and in the dropdown list you can choose the best option according to the scenario you are dealing with.
- Click Done and the venue will be released.
- Once you release the venue if you click save you will find a release report document on the Documents tab and in the Outbox so you can send it over to the venue.
Lose a booking
- In case your client decides to cancel the event before the booking was confirmed you can use the “Lost Booking” button that you will find on the General tab.
- If the booking was confirmed the same field will be called “Cancel this booking”.
- A pop up will appear and you can describe the reason for losing/cancelling the booking and you will get a document to contact the venue and release them.
- At the conclusion of the training please ensure you advise the attendees that they can access the user manual, the troubleshooting helpfiles and contact us directly through the 'Help' icon on the bottom right over every page in GRATIS
