Gratis Stats Report

This report will show the enquiry value and detail for a specified Venue, Group Destination County and Country.

Please note asking for a full report containing all venues and all Clients will take a very long time to complete and should be used with caution


From the left-hand side of your home page, under the category Reports, select Stats

From this area, you will be able to run a report to show you the GRATIS enquiry value and detail for a specific Venue, Group, Country and Destination over a specific time period.


TABLE OF CONTENTS

Group Enquiry Reports

  • To begin, select an Affiliation, Ownership, Group OR Cluster

  • Then select your date period from the From and To Calendar filters

  • Choose your Listing Type  (Subscribed venues/Basic or ALL)

  • Choose your Client Type ( By a specific GRATIS agent or ALL)

  • Select a Status ( Provisional/Released/Confirmed/Cancelled or ALL)

  • Then select your Report Style – Summary or Full (A Summary will give you totals per venue. A Full report will show every enquiry and all figures relating to the enquiry per venue. )

  • Finally, select your Date Filter by Enquiry Date or Arrival Date and click Filter. The report will now open in a new screen

Venue Enquiry Reports

  • Start typing the Venue name and then select the correct name from the drop-down.

  • Then select your date period from the From and To Calendar filters

Now follow steps 4-7 from the Group Enquiries Reports instructions

Destination Reports

  • Firstly, select the region from the links at the bottom of the reports page

  •  Now select the Country (You can also County and Destination, depending on how particular you require your report)

  • Then select your date period from the From and To Calendar filters

  • Choose your Listing Type  (Subscribed venues/Basic or ALL)

  • I recommend running a Destination report as a summary as this is a large report.

  • Choose to run your report by Group, Destination, County or Country

  • Finally, select your Date Filter by Enquiry Date or Arrival Date and click Filter. The report will now open in a new screen


The instructions above can be used to run the Online web Enquiry report – This shows the value of all enquiries placed by our Web User Clients


Subscription report

A report to show you all venues within a specific Expiry date range. This is primarily used to populate the date for the Independent Venue Renewal Tracker

  • Type into your web browser http://reports.venuedirectory.com

  • Click “View Report” in the Subscription Report

  •   In the From and To Date fields, select from the calendar fields the subscription expiration dates you would like to capture, for example, November Expiry  = 01/11/2013 – 30/11/2013

  •   Un-tick ALL in the Region field and select your Region for example: Europe

  •    Un-tick ALL  in the Country  field and select a Country, for example: United Kingdom

  •  Now Click Preview

  • The report will generate on screen, to export you will need to select Excel 97-2003  from the drop-down list marked “Export to the selected format”

  • Now Click Export


Renewal Stats Report


This report will give you the information required to complete your Renewal letters.


  •    Go to https://reports.venuedirectory.com/

  •  Select “ View Report” in Renewal Stats Report

  •    In the From and To Date fields, select from the calendar fields the subscription expiration dates you would like to capture, for example, November Expiry  = 01/11/2013 – 30/11/2013

  •   Un-tick ALL in the Region field and select your Region for example: Europe

  •   Un-tick ALL  in the Country  field and select a Country, for example: United Kingdom

  •   Now Click Preview

  • The report will generate on screen, to export you will need to select Excel 97-2003  from the drop-down list marked “Export to the selected format” Now Click Export

  You will now be ready to tidy and filter your report

How to Run a Standard Master User List


Master User lists enable us to help the Venue Groups that work with us maintain the users that have access to the individual hotels


  •   From the left-hand side of your home page, under the category User Management select Edit User

  •   Select the Group/Ownership/Cluster/Affiliation or Accreditation

  •    Tick the Active Box

  •   And then click Search

  • The results will now appear in a grid. Click on Export

  • If you wish to, you can specify the User Group. For example Web user or Venue Administrator.

  • You can also choose to specify Decision Maker


Select Open with “Microsoft Excel”  and click Ok


The information will now populate as below

  • The sheet is now ready for us to tidy up

  •    Delete the columns as follows:

  •   Title / Address1 /Address 2/ Town-City/ County/Postcode/Tel Enq/Updated/Fax No and Last Logged in

  •  Now we need to change everything that is TRUE to Y and FALSE to N

  •    To do this Highlight the rows required (left click on mouse and drag)

  •   Go to the Top Right of the sheet and click the drop-down selection on Find and Select and then select Replace


  •   In the box Find What  type TRUE

  •    In Replace Y (Repeat for FALSE)

  • Click Replace ALL

  •  Paint the sheet in White and then highlight the Top Row in Dark Blue (34/34/94) and change the font to white

  •   Change the Page Layout to Landscape. 

  •    Click View  select Page Break Preview  and click and drag the line so that everything is on one page ( this will automatically resize the sheet)

  •    I would recommend you Filter by company so that the users list per Venue

  •   Finally, check the sizing of the sheet and insert a Header – For example, Jurys Inn Master User List February 2014 if required.


You are now ready to either Print or separate onto individual tabs depending on your requirements.

Summary Master User List


This is ideal if you do not need to filter too much information and need a quick overview of users assigned to a specific Group.

  •   Go to https://reports.venuedirectory.com/

  •    Select View Report in the Master User List

  •  Select Active or All

  •   Select your Affiliation, Ownership, Group OR Cluster

  •   Select to view All or Decision Maker

  •   Now Click Preview

The report will generate on screen, to export you will need to select Excel 97-2003  from the drop-down list marked “Export to the selected format” Now Click Export

Group Stats Report


This report will show the 3 Year Statistics for Searches and Views year on Year for a Group, Affiliation or Ownership

  •  From the left-hand side of your home page, under the category Reports, select Stats

  •  Then Select Group Stats Report

  •  Select the relevant Group, Affiliation or Ownership

  •  Select the End Year

  • Click Search


Venue Performance Report


This report will show you the Total number of Enquiries and response time statistics for a Venue or Group over a specified time frame.

  •       From the left-hand side of your home page, under the category Reports, select Stats

  •   Then Select Venue Performance Report

  •    To begin, select a Venue, Affiliation, Ownership, Group OR Cluster

  •    Select Client (GRATIS Agent) this will default to all

  •   From Report Style Choose to run a Full report or Summary version

  •    Select your date period from the calendar fields

  •    Choose the Date Filter on the Enquiry or Arrival date

  •    Select a country or destination if required

  •  Click Filter


If a full report has been requested then click on the + This will open up to show you the detailed

information for that venue.

Venue Audit Report


This report will show you ALL the data currently appearing on full entry venue listing.

This is primarily run for Groups who want to review their listing data.

You can also run this to show you just the subscription dates for a venue group.

  •    You must run this in Mozilla Firefox

  •    From the left-hand side of your home page, under the category Reports, select Stats

  •    Now select Venue Audit Report

  •   Select from Report Type Full or Subscription Details

  •   Choose a Venue, Affiliation, Ownership, Group OR Cluster

  •    Click Export

  •   Select Open with “Microsoft Excel”  and click Ok

  •   Select Open XML As an XML Table and click OK

  You will now be able to edit and amend your report as required.
