Venue Approvals
All venue approvals should now be processed via My Events Channel including venues added by GRATIS users, (although these will still show in the Admin CRM without the EDIT button).
To approve a venue:
Log in to www.myevenstchannel.com
Within the section Providers Awaiting Approval you will see a list of all venues to be approved. They will be listed with the newest at the top of the page and oldest at the bottom. Although the venue will remain published whilst the changes they have made are in the approvals queue, the approvals MUST be checked every 30 minute
Click on the Approve button next to the venue you wish to check
For any venues that appear with the MODIFIED IN GRATIS note, You must click EDIT LISTING and check the following things:
The venue address is completed & correct,
The venue has a short & full description,
The venue has a contact telephone number
The venue is published
Location and coordinates are set
Brands are completed
A maximum capacity theatre style is completed
There is at least 1 user attached to the venue
Once you have checked these items, go back into the approval and click Mark as Reviewed.
For other approval types, clicking on the Approve button next to the venue you wish to check will take you to further details. You will then be presented with a list of the changes that have been made for you to check. You MUST View Details for each change to ensure that the change is correct and suitable for our website.
You must then review each change. Once you are happy the change is appropriate, click to close the window and then click to Mark as Reviewed.
Clicking on the venuedirectory.com Icon will take you back to the approvals list.
Things to Look Out For
Spelling and grammar mistakes
Incorrect spacing in-between words and paragraphs
Images - check that they are the correct size and format and that they have not been duplicated. Also check that the image does not have people’s faces clearly showing or in anyway inappropriate.
News and Offers - check that there are no links in the news and offers section. If there are edit them and take out the link
News and Offers - check that there are no commission offers. Agents don’t use this section of the website so it is un-necessary to have them in the area. We have a template email that we can send to venues to advise them that we will take it off and why.
News & Offers - If the venue is a full listing and is part of a group, and you have to amend the detail or remove it, please ensure you copy in Kirsty G into the email to the subscription contact.
Christmas parties - Ensure that the parties have been loaded correctly with dates, or these parties will not show up online. Make sure you have ticked to Publish Christmas Party Packages in Admin Only section.
Rooms - check that the room chart has been completed correctly and that no extra rooms have been added incorrectly
Weddings - please ensure that the “Include in Wedding Search” and “Publish” buttons are ticked. You can find this in MEC in Admin Only section, Wedding Tab. You must also have selected Wedding License in Styles & Facilities, in the Facilities tab either on or off site.
Supplier Approvals
New suppliers will still need to be approved via the Admin CRM in the usual way.
However, a check must be made to ensure they are correct to be a supplier and the General, Location, Services and Users tabs must be completed. Every supplier must have at least 1 user, the short overview field must have a description of the supplier and get co-ordinates must also be completed.

Please note that, as per our policies, we are unable to publish Commission offers on our website. Our platform is designed to cater primarily to Booking Agents utilizing GRATIS for their enquiries, accessing our site through their customized White Label version. In this context, direct commission offers present a conflict of interest, as the focus is on facilitating bookings between agents and venues rather than direct transactions with clients.
Should you wish to share a commission offer with the GRATIS Booking Agents, I would recommend reaching out to them directly. They would be best positioned to consider and engage with such offers in alignment with their operational requirements and preferences.
