We are excited to inform you that a new Zoom room has been set up on Floor 5 by Cvent for more convenient and streamlined meetings. 


Please take a moment to review the information below on how the room operates and the necessary steps to set it up for your meetings.


Room Features:


·       An iPad on the table displays the meetings scheduled for the current day.

·       The iPad is connected to the TV and will automatically turn on at 7 am and off at 7 pm daily, eliminating the need for manual activation or deactivation.

 

Setting Up Your Meeting:


·       Include the Zoom Room in your meeting invite by sending it to BournemouthPier@cvent.com, Bournemouth Pier (12-ZR).

·       Upon sending the invite, you will receive an email indicating whether your request has been accepted or declined.A declined request means the room is already booked for that time.

·       An accepted request means your meeting is scheduled for the Zoom Room.

·       Ensure your meeting invite includes a Zoom link; otherwise, participants won't be able to join.

 

Meeting Check-In:


·       Check in to the meeting up to 10 minutes before the scheduled time.

·       Failure to check in within the first 15 minutes will result in the room being released, making it available for others to book.

 

During the Meeting:


·       Once checked in and joined, the meeting will go live with the camera activated, and participants off mute.

·       A remote on the table allows you to control the camera, zoom in on individuals, adjust volume, mute/unmute, and end the call.


  • If you want to initiate a screen share, make sure you have your laptop with you and the Zoom app installed on your desktop. Once in the Zoom room, navigate to the home page of the app where you'll find a "share screen" icon. Click on this icon to connect to the screen and begin sharing your desktop.


 

 

 

Please remember when setting up a meeting in the Zoom Room, you still need to add Floor 5 meeting room as the location in the invite.
