Accessing Attendee Hub
Account Name: VENUDIRECT
Email address: training.academy@venuedirectory.com
Password: TrainingAcademyVD25!
Creating an Event
Log in and access the Event Creation page.
Fill in mandatory fields (marked with a red asterisk).
Click on "Create Event."
Adding Event Features
Expand the "General" section.
Navigate to "Event Features."
Add the following features:
Attendee Hub
Registration
Agenda
Survey and Assessments
Click on "+Add" to include them.
Creating Sessions
Go to the "Session Overview" field and click on "Create sessions".
- Enter mandatory session details.
- Save the session information.
Configuring Attendee Hub
Enable "Session Q&A" and "Session Chat."
Navigate to "Video Settings."
Click "Edit" and select "Live" from the dropdown.
Set the session type to "Collaborative."
Choose "Zoom" as the Video Conferencing Tool.
Select the recording option.
Click "Save" to generate host and guest links.
Customizing Attendee Hub Website
Go to the Attendee Hub section on the menu and click on "Website and App" > "Manage Website and App."
Under "Design," customize:
Fonts
Icons
Images
Upload logos and headers in "Website Images."
Click "Save Page."
Editing the Registration Form
- In the Registration section click on Registration Process;
- Click on Personal Information to edit the registration form and add or remove fields.
- In the example below, if you want to change the Mobile field to Work Phone, hover over it and click on the plus icon (+), on the pop-up type in “Phone” to select the field you want to add.
- To remove the Mobile option, hover over the field and on the left-hand side, click on Delete.
- You can also add the "Already Registered?" option and make it a button or simply a link.
- After making the changes you want, click on Save, at the top of the screen and click on Publish.
Making Event Live
Go to the "Overview" page.
Click "Go Live."
- Now that the event is live, go back to the initial page by clicking on the arrow icon in the top left-hand corner.
Finalizing Registration
Click "Home."
Under "Registration," click the dropdown arrow.
Choose "Check for issues" or "Open" to activate registration.
Confirm registration activation.
- When you click on "Open" a pop up will appear to confirm if you want to go ahead and open the rgistration to the attendees.
- Completing this step means that you have now completed the creation of the event and this is what you should see:
- Check the event you just created by expanding the Attendee Hub section on the menu on the left-hand side.
- Click on Website and App and then on Manage Website and app.
- On the right-hand side, you can copy the link to share it with your clients or click on "Visit website" to see what the clients will see when they access the link.
Client Registration Process
Clients can log in or register.
They complete the form and click "Next."
Review the registration summary and submit it.
The client will receive a confirmation number.
They can add the event to their calendar.
View the countdown timer and registration summary.
- This is the confirmation email they will receive:
- If the client reaches the registration form they can click on "Already registered?" and they will have to enter the email address and the confirmation number that they should have received when they registered.
Handling Client Enquiries
- In case your client contacts you saying they can't find the confirmation number to log into the platform, you can find it in the Attendees section, by clicking on the Attendee List and then on the attendee name.
- Scroll down the page to the Registration area where you will see the confirmation number that you can share with them.
Starting the Zoom Session
Use the generated Zoom link.
Alternatively, go to "Agenda" > "Session List."
Click on the session and go to "Video Settings."
Click the "Host URL" in "Video Conferencing Details."
