Planners and venues who wish to download any resources from this page will be required to complete a form. This data helps us generate leads and track marketing effectiveness.



 Objective

Marketing will actively drive traffic to these pages to increase engagement and generate leads. It is essential that we:

  • Add new contacts into the appropriate database (MEC or VDC GRATIS).

  • Track the effectiveness of these campaigns via Freshdesk tagging and database reporting.

  • Attribute sales revenue correctly to marketing efforts.


Workflow Overview

Freshdesk Setup

  • All resource request emails will be sent to the Venue Support Group in Freshdesk.

  • These tickets are automatically tagged with Marketing Gen.
    Do not remove this tag — it’s used to track the volume of leads.


How Resource Requests Will Appear

  1. Determine the type of contact:

    • Venue contact ➜ Add to MEC

    • Planner contact ➜ Add to VDC GRATIS

  2. Complete all fields with the provided information.

  3. Set Reg Source as:

    • "Marketing Gen" in MEC (already available)

    • Fiona to create a matching source in VDC for planners

  4. Tick the Receives Newsletters flag — all users have opted in


Lead Handling Instructions

✅ If “Interested in” options are selected:

  • I am a Venue
    AND selected an “Interested in” option
    Pass to Sales

  • I am a Meeting Planner
    AND selected “Interested in Venue Finding Solutions”
    Pass to VDC Team


❌ If “Interested in” is NOT selected:

  • Add the contact to the system

  • Close the ticket — no further action required


Existing Users

If the user already exists in the system:

  • Update all relevant details

  • Ensure they’re linked to the correct venue (if not already)

  • Tick the Receives Newsletters box

  • Do NOT change the Reg Source


Notes

  • Always ensure data accuracy when adding or updating contacts.

  • This process supports Marketing in proving campaign value and sales attribution.

  • If unsure where to add a contact, escalate within your team.
